The PTR Reservations screen as shown below in Fig 1.1 comprises of 3 tabs, the Tour Details, Service Details tab and the Summary tab. Let us look at the Tour Details tab first.
Tour Details Tab
The Tour Details tab is further broken down into 2 sections, the Tour Details and the Traveler details section
While making a reservation, the user needs to select the Tour Type first which would help narrow or filter the required tour for which the reservation is made. This will help us to select the predefined tour against which the traveler needs to make a reservation.
The user needs to select the tour type followed by the actual tour before starting in fill in other details in this section.
In the Traveler Details section, we can now proceed to fill in the traveler or agency details for this reservation.
In this section, we need to select the Reservation type based on whether the reservation is made for a direct traveler or for travelers on behalf of an agency, agency group or direct group.
In case an agency was selected as the reservation type, we need to select the associated agency in the Association field and the agent which will prefill the Bill To and the Contact columns resepectively.
Commision calculation is based on what is setup for the agency that was selected for this reservation.
Additional Traveler: When you have more than one traveler, in which case you enter 2 or a higher value in this field upon which a new link called ‘Show Additional Travelers’ appears on the right hand side of this field.
Using this link, we can enter details of additional travelers in this reservation. You can search or add a new traveler using the Additional Traveler Screen.
Promotion Code: If there are any promotions for this type of tour, we can select the appropriate promotion code using the promotion code tab. Based on the promotion code added, discounts will be applied to the total reservation payment value. All promotion codes may not be available for all tours. They may have discounts that are applied as discounts to service payment or to the total amount.
The pickup location field is used for motorcoach tours where we can select the appropriate pickup and dropoff point.
Promotion Code: If there are any promotions for this type of tour, we can select the appropriate promotion code using the promotion code tab. Service Tab
The Service tab helps the operator to add services to this reservation in the form of accomodation, sight seeing services, air and others.
Summary Tab
Note: Once you are in the Summary tab, you cannot go back to the first 2 tabs namely the Tour&Travelers and the Services tab. This also means that while you are in the summary, you cannot make changes to the information entered in the previous tabs unless you save this reservation and modify it later.
In the Summary tab, changes are restricted to the 4 fields namely – Sales by, Coordinated by, Document Delivery address and the Cross street columns.
Once the information is saved, you are shown the reservation details screen.
Reservation Details Screen
After the summary tab is done, the operator is shown the reservation details screen, where the entire reservation detailed information is shown section wise. Also, one can add air information, enter payments or create documents, and modify the reservation details on this screen using the edit facility.
Tour Information Section:
Lists all the information of the tour related to this reservation.
Certain fields like the Travel begin date and the Travel end date are editable fields as also the complaint field.
Booking information Section:

Reservation Comments:
Flight Information Section:
Payment Plans Section:
This section shows the payment plans as setup during the packaging of the tour.
Payment Due information Section:
This would show the due or pending payments if you had set it up during the setup of the tour.
Let us look at the setup screen where the tour deposit and payment details was setup in the first place as shown in the below screen.
Once this was setup, the payment due information for the reservation would look somewhat similar to the screen below.
Price Information:
This would show the entire list of transactions made for this reservation, cost as well as payments made towards it.
The commission amount as setup for the agency is shown in the price details, if the reservation type was selected as Agency. The commision amount is not added only to the gross amount and not to the net.
Gross is what the customer pays and the net is what is payable by the agency.
Payments
Payments towards the reservation can be made using the Payments option. All credit card and payments by other means can be recorded in the payments screen. All these transactions are then shown in the price information. Credit card payments would need to get processed by a payment gateway like paypal.
Restore old price of Main Tour
In normal condition when we modify the room type of main tour,it will load the latest price details . We have added an option to keep the old price of a tour when we modify a reservation. We have added a prompt that will be displayed, when we modify the room type as shown below . If we want to keep the same pricing, we can select ‘Yes’ as shown below . We can select option ‘No’ if we do not want to keep old price.
